To upload statements, documents and activity from PROMAS, you will need to first make sure you’ve synced profiles in PROMAS to your Control Panel. Profiles must exist in your HERO PM Control Panel before you can post data to them. Once you sync profiles and publish statements, documents and activity, your clients will be able to view the data in their online account (if configured).

Follow these directions to complete the initial sync to import profiles from PROMAS to your HERO PM Control Panel (NOTE: These directions apply to the RP system only, please
contact us if you use the VR systems and need assistance uploading from PROMAS):

  1. In your PROMAS database, click on Internet Publishing (Not all PROMAS packages include Internet Publishing. If yours does not, please contact PROMAS for upgrading information.)
  2. Click Publish to PROMAS Central (HERO PM Control Panel), and logon
  3. When the new window opens, click Start and when completed, click Close

It usually takes between 15-60 minutes for the sync process to complete. Once it’s finished you will be able to see your active owners, tenants, vendors and units in the RP Management tab of your HERO PM Control Panel. You can monitor an upload or sync in progress when you are in the RP Management tab as well. In the upper right corner of the screen by Quick Navigation there will be a “P” icon flashing during the sync. When the sync or upload is completed, the P icon stops flashing.

After the initial sync you can then upload data (documents, statements and activity) for your clients to view in their online accounts. To be able to view the uploaded data, you must configure your client accounts with online access and they must set up and link their online accounts. Follow these directions to upload data from PROMAS after the initial sync:

  1. In your PROMAS database, click on Internet Publishing
  2. Check Upload Documents to Server, or to upload Activity, check Upload Activity to Server  (NOTE: Each time you upload data from PROMAS, all profiles will also sync in your Control Panel. Therefore, any changes you need to make to profiles should be made in PROMAS.)
  3. Click Publish to PROMAS Central (HERO PM Control Panel), and logon
  4. When the new window opens, click Start and when completed, click Close

Again, it usually takes between 15-60 minutes for the upload process to complete; once it’s published, both you and your clients will be able to see the documents, statements and activity as long as you’ve given them online access, and they’ve set up their online accounts.

You can view the statements, documents and activity published by clicking on any client for whom you’ve uploaded data. For example, if you uploaded a monthly statement for your owners, click on RP Management > Documents > Document Lookup for Owners > Find Document. Click the icon on the left side of the page and select View this document. You can also view a list of documents, statements and activity that have been uploaded for each particular owner in RP Management > Owners > Owner Lookup > Find Owner > View Documents in the icon menu.

(NOTE: A new profile will not get documents until the second upload with that profile in the sync. So if you have added a new client to PROMAS, you must publish twice before the statements/documents post. The first sync will add their profile to your Control Panel, the second sync will add documents/statements to their profile as indicated in the FAQ directions.)
